  1. Connect your ATS (such as Greenhouse, Lever, Workday, or Ashby) to an AI meeting tool like Fireflies, Otter, Fathom, or Granola using native integrations or a Zapier/Make trigger; create one flow that starts when a candidate reaches “interview scheduled,” not when the application arrives.
  2. Before interviews, generate a candidate brief by pulling the resume, job description, and structured interview plan into one prompt; ask the AI to list must-have qualifications, likely risks, and three fair role-specific questions, then require a recruiter to approve the brief before it is sent.
  3. During or after each interview, use the AI notetaker to capture a transcript and produce a consistent summary template: competencies with evidence quotes, concerns, salary/logistics notes, and recommended next step; store it back on the candidate profile so the whole panel sees the same record.
  4. Add a scoring step that converts notes into a rubric aligned to the job (for example: required skill, collaboration, ownership, communication), but keep humans responsible for the final score by forcing edits and a reason code when the AI suggestion is overridden.
