  1. Consolidate before you automate: gather scattered policies and how-tos from Drive, Notion, Slack canvases, and inboxes into one maintained knowledge home — an AI assistant on messy sources just gives confidently wrong answers faster.
  2. Choose the surface where questions already happen (Slack or Teams) rather than a new portal, and deploy an assistant that answers with citations so employees can verify the source in one click.
  3. Write answers for reuse: turn the ten most-asked questions into clean, dated knowledge-base articles with an owner — the assistant's quality ceiling is your documentation's quality floor.
  4. Define the escalation path explicitly: what the assistant may never answer (anything HR- or legal-sensitive, anything case-specific) and where it hands off to a human queue with full conversation context.
  5. Review the unanswered-questions log weekly — it's a free roadmap of missing documentation and confusing processes, and fixing the top three each month compounds quickly.
